Policies

The policies below apply to all individuals attending ADLM 2025 (formerly AACC Annual Scientific Meeting & Clinical Lab Expo):

General registration policies

Each person attending ADLM 2025 must register.

  • Each order allows registration for only one individual.
  • The person attending must be the same individual who completes the online registration.
  • Registration fees are final and will not be adjusted for any reason, including sponsorships, discounts, or other considerations, after registration is complete.
  • Registration does not include travel and accommodation.
  • ADLM permits individuals aged 16 and 17 with a valid government issued photo ID to register for and attend ADLM 2025, if accompanied by a registered adult.
  • Children under 16 are strictly prohibited from accessing the exhibit floor or attending educational sessions at any time.

If you register on behalf of someone else, you confirm that the attendee has been informed of ADLM’s meeting policies and has agreed to abide by them.

Special registration types

Poster presenters

To present your poster in Chicago, you must have either a Chicago All-Access registration or a Daily registration for the day of your poster presentation.

ADLM University

ADLM University courses are available for individual purchase and do not require registration for ADLM 2025. 

Non-member students/trainees

Students and trainees who are not current ADLM Trainee Members are not eligible for discounted registration fees, which are a benefit of ADLM membership. You may join ADLM during registration. To qualify for discounted trainee rate, you must provide proof of full-time student/trainee status. Trainee membership dues are $45 per calendar year and will be added to your registration fee.

Express members

Express Members are not eligible for the ADLM member registration discount.

Payment policy

ADLM requires full payment of all fees to register. We do not accept purchase orders or cash payments.

Online registration must be paid by credit card. We accept Visa, MasterCard, and American Express.

To pay by wire transfer or check, please contact ADLM customer service.

Confirmation and receipt

A confirmation email and receipt will be emailed to you upon payment of registration. To ensure delivery, please provide a valid, unique email address during registration and check your spam or junk folder in case our emails are filtered.

Registrants may view their confirmation or print a receipt online.

Upgrade policy

Expo Only (exhibit hall access) registrations may be upgraded to a Chicago All-Access (full conference) registration, which includes access to the educational sessions at ADLM 2025.

Cancellation/refund/transfer policy

Expo only in-person registration

There will be no cancellations, refunds, or transfers of Expo Only registration.

Chicago all-access registration

Cancellations made on or before June 20: Full refund, minus a $100 processing fee.
Cancellations made between June 21 - July 11: 50% refund of the registration fee.
Cancellations made after July 11: No refunds will be provided.
All cancellation requests must be submitted in writing to [email protected].

Conference registrations can be transferred to another person until July 11, 2025. Contact Customer Service for details. No transfers allowed after this date.

Conduct and liability

Conduct policy and personal accountability commitment

ADLM is committed to providing a welcoming and productive environment to all participants at ADLM-related events. This Conduct Policy applies to all ADLM activities, including all official ADLM-sponsored events and online presence, including social media.

All attendees, media, speakers, organizers, staff, and exhibitors associated with any ADLM-sponsored event agree to adhere to the following principles:

  • Respect common-sense rules for public behavior, personal space and interaction, courtesy, and respect for private property.
  • Be considerate and respectful of differing perspectives during the meeting.
  • Respect the rules and policies of ADLM, the meeting venue, hotels, and city.

ADLM prohibits discrimination, harassment—sexual or otherwise—and bullying against any person for any reason. Accordingly, some behaviors are specifically prohibited:

  • Intimidation, stalking, harassment, unwelcome sexual attention, inappropriate photography, or discrimination.
  • Abusive, harassing, or threatening behavior.
  • Yelling at, threatening, or personally insulting participants or presenters (verbally or physically).

Participants asked to stop engaging in unacceptable behavior are expected to comply immediately.

All participants are expected to alert staff of any dangerous situations, violations of this Policy, or of anyone in distress.

Consequences

  • ADLM may remove any individual from attendance or other participation in any ADLM-sponsored activity or event without warning or refund.
  • ADLM meeting attendance badges are the property of ADLM and must be returned to ADLM upon request.
  • ADLM may also prohibit the individual from attending or participating in future ADLM events and, may take action related to the individual’s ADLM membership and/or volunteer service.
  • ADLM may involve law enforcement as appropriate based on the specific circumstances.

Reporting

Violations of the Conduct Policy should be reported to on-site event staff (whether ADLM or venue security). Reports can be made through the following channels:

  • ADLM or security staff at the convention center.
  • ADLM Headquarters Office in the convention center.
  • ADLM via email at [email protected].

Event staff will assist in contacting venue security, local law enforcement, or providing other necessary support.

Liability

Each attendee agrees that:

  • Except as required by law, neither ADLM nor its affiliates shall be liable for any direct, indirect, special, incidental, or consequential costs, damages, or losses arising directly or indirectly from the event/activity or other aspect related thereto.
  • ADLM may update its programming, speakers, and other pertinent details at any time.
  • ADLM reserves the right to change, amend, add, or remove any Policies, Terms, or Conditions in its sole discretion and without prior notice. If one or more of the conditions outlined in these Terms and Conditions should become invalid, the remaining conditions will continue to be valid and apply. These Policies, Terms, and Conditions apply to all event participants (attendees, speakers, sponsors, exhibitors).

Photo Release Policy

  • By attending ADLM 2025, you grant ADLM permission to capture and use photographs or videos of you for promotional purposes, including in print, online, and social media. These images may be edited as needed. You acknowledge that you will not receive compensation for the use of these images and waive any rights to royalties or other remuneration.
